FBR Invoice Correction: How to Edit, Cancel or Adjust a Submitted Invoice
The 72-Hour Correction Window
Once an invoice is transmitted to FBR and receives an FBR invoice number, it is a tax record. FBR still allows a short window to fix genuine mistakes:
| Timeline | What You Can Do | Where |
|---|---|---|
| Within 72 hours of submission, and before month end | Edit the item details once, or cancel the invoice | IRIS portal (iris.fbr.gov.pk), Digital Invoicing section. The FBR invoice number does not change. |
| After 72 hours, or after month end | Edits and cancellations need the Commissioner's approval | Apply to your Commissioner Inland Revenue; for price or quantity changes use a debit note (through the API, within 180 days) or a credit note (on IRIS) |
Key points: the 72-hour correction window closes early if the month ends first. Cumulative edits are capped at 10% of the previous month's sales. A corrected invoice keeps its original FBR invoice number; it does not get a new one.
What Can Be Corrected (Within 72 Hours)
FBR separates the invoice into item details, which can be edited once, and header details, which cannot be edited at all:
| Field | Can Correct? | Notes |
|---|---|---|
| Item quantity | ✓ Yes (once) | Item detail; the change counts towards the 10% cap |
| Item value / unit price | ✓ Yes (once) | Item detail |
| Sales tax on the item | ✓ Yes (once) | Follows the corrected value and rate |
| Item description | ✓ Yes (once) | Item detail |
| Buyer (NTN / CNIC, name, registration type) | ✗ No | Header detail. Cancel the invoice within the window and issue a new one to the correct buyer. |
| Invoice date | ✗ No | Header detail; cannot be backdated |
| FBR invoice number | ✗ No | Issued by FBR and fixed. An edited invoice keeps the same number. |
| Whole invoice | ✓ Cancel | Cancellation is allowed within the same window |
Critical distinction: item details (quantity, value, tax, description) can be edited once. Header details (buyer, date, invoice type) cannot be edited; if the header is wrong, cancel the invoice within the window and issue a new one.
Step-by-Step: How to Correct an Invoice (Within 72 Hours)
Step 1: Identify the Error (Immediately)
As soon as you discover the mistake, act. The window is 72 hours or month end, whichever comes first.
- Open the invoice in FinSmart and confirm it has an FBR invoice number (a failed or timed-out submission has no number and is handled differently)
- Note exactly what is wrong (quantity, value, tax, description)
- Decide whether it is an item edit (allowed once) or a header problem (cancel and reissue)
Step 2: Log in to IRIS
Corrections are made on FBR's IRIS portal, not through the API:
- Go to https://iris.fbr.gov.pk and log in with your registration number and password
- Open the Digital Invoicing section
- Find the submitted invoice by its FBR invoice number
Step 3: Edit the Item Details or Cancel
Choose the action that fits the mistake:
- Edit the item details that are wrong; IRIS recalculates the totals
- Remember that item details can be edited only once, so check everything before saving
- If the buyer, date or invoice type is wrong, cancel the invoice instead
- The FBR invoice number stays the same after an edit
Step 4: Save and Record the Change
After saving on IRIS:
- Check that the invoice on IRIS shows the corrected values
- Keep a note of the edit (date, time and reason) with your sales records
- In FinSmart a submitted production invoice cannot be edited or deleted, so the IRIS record is the corrected one; keep your note with the FinSmart invoice for reconciliation
- If you cancelled, create and submit a new invoice from FinSmart; being a separate invoice, it receives its own FBR invoice number
Step 5: Inform the Buyer
Contact your customer:
- Tell them the invoice was edited or cancelled on IRIS
- Send the corrected details or the new invoice
- Explain the change so both sides' records and sales tax returns match
Real-World Correction Scenarios
Scenario 1: Wrong Quantity (Item Edit, Within the Window)
Problem: Invoiced 100 units of Product X, but actually shipped 110 units.
Solution (step by step):
- Log in to IRIS and find the invoice by its FBR invoice number
- Edit the item: change the quantity from 100 to 110
- IRIS recalculates the value and the sales tax at the item's rate
- Save; the FBR invoice number stays the same
- Notify the buyer of the correction
Remember: this is the one item edit allowed for the invoice, and the increase counts towards the 10% monthly cap. If the window has closed, the extra 10 units go on a debit note instead.
Scenario 2: Wrong Buyer (Header Detail — Cancel and Reissue)
Problem: Invoiced customer "ABC Corp" (NTN 1234567) but the goods went to "XYZ Corp" (NTN 7654321).
Why it cannot be edited: the buyer is a header detail, and header details stay fixed after submission.
Solution (within the window):
- Cancel the invoice on IRIS within 72 hours of submission (and before month end)
- In FinSmart, create a new invoice to XYZ Corp:
- Check the buyer's registration type through FBR's registration service
- Use the same items, values and tax as the original
- Validate, then submit; FBR issues this new invoice its own FBR invoice number
- Keep the cancelled invoice and the new invoice together in your records
After the window: cancellation needs the Commissioner's approval. Apply with the reason and supporting documents before issuing the replacement.
Scenario 3: Tax Rate Error (Item Edit, Within the Window)
Problem: Applied the standard 18% rate to an item that is listed in the Eighth Schedule at a reduced rate.
Solution:
- Confirm the correct rate and the SRO schedule and item serial for the goods (check the current schedule/SRO)
- Edit the item on IRIS within the window: correct the rate and the sales tax amount
- Save; the FBR invoice number stays the same
- Fix the product's sale type and SRO fields in FinSmart so the next invoice is right the first time
If the buyer was over-charged and the window has closed: the reduction is handled through a credit note on IRIS, not by editing the invoice.
After the Window: Debit Notes, Credit Notes and Commissioner Approval
Once 72 hours have passed or the month has ended, the invoice itself can no longer be edited or cancelled without the Commissioner's approval. Price and quantity adjustments are handled with notes instead:
Adjustment Documents
- Debit note (increase): supported by the Digital Invoicing API as the "Debit Note" invoice type. It references the original FBR invoice number and must be issued within 180 days of the original invoice.
- Credit note (decrease or return): handled on the IRIS portal against the original invoice.
- Edit or cancellation after the window: apply to the Commissioner Inland Revenue with the reason and supporting documents.
- Keep records: the original invoice, any note and any approval must be kept for 6 years under the Sales Tax Act.
Note: FinSmart does not issue debit or credit notes today. Debit notes are issued through your API integration or on IRIS, and credit notes on IRIS.
Common Correction Mistakes to Avoid
Mistake #1: Trying to Edit After the Window
Problem: "I went to IRIS on day 4 to fix the quantity and the edit option was gone."
Fix: After 72 hours or month end, use a debit or credit note for the adjustment, or apply for the Commissioner's approval if the invoice itself must change.
Mistake #2: Trying to Change the Buyer
Problem: "I tried to change the buyer NTN on IRIS. It would not let me."
Fix: Header details cannot be edited. Cancel within the window and issue a new invoice to the correct buyer.
Mistake #3: Expecting the FBR Invoice Number to Change
Problem: "I edited the item and the FBR invoice number on IRIS did not change. Is the edit lost?"
Fix: No. An edited invoice keeps its original FBR invoice number and QR code. Only a new invoice gets a new number.
Mistake #4: Resubmitting From Software to "Overwrite" the Invoice
Problem: "I submitted the invoice again from my software with the corrected values." FBR treats it as a second invoice, and FinSmart's duplicate-invoice protection blocks the attempt.
Fix: Corrections happen on IRIS. Submit from software again only after a timeout, and only after checking on IRIS that the first attempt was not recorded; FinSmart flags timed-out invoices and asks you to verify before "Force Resubmit".
Mistake #5: Editing Twice or Exceeding the 10% Cap
Problem: "I fixed the quantity, then noticed the price was also wrong." Item details can be edited once, and cumulative edits are capped at 10% of the previous month's sales.
Fix: Review every item before saving the edit. If a second change is needed, use a debit or credit note.
Mistake #6: Not Informing the Buyer
Problem: "I corrected the invoice on IRIS but the customer still has the old amount in their records."
Fix: Send the buyer the corrected details so both sides' sales tax returns match.
When to Contact FBR or PRAL
Contact FBR when the rules, rather than your software, are the issue:
- IRIS access problems: you cannot log in or the Digital Invoicing section does not show the invoice
- Corrections past the window: you need the Commissioner's approval for an edit or cancellation
- Buyer registration issues: FBR's registration service shows a status the buyer disputes
- API issues: PRAL (Pakistan Revenue Automation (Pvt.) Ltd) supports the Digital Invoicing API itself
FBR contact: the Contact section on fbr.gov.pk and the FBR helpline. For FinSmart-side questions, contact the FinSmart team.
Best Practice: Prevent Mistakes Early
Avoid needing corrections by:
- Check the buyer before invoicing: FinSmart checks the buyer's registration type in real time through FBR's registration service, and validates the NTN (7 digits) or CNIC (13 digits) format
- Double-check quantities: confirm the delivered quantity matches the invoice before you submit
- Set up products once: categories with HS codes, products with units, and the right sale type and SRO fields for reduced-rate items
- Validate first: click "Validate FBR Invoice" and read FBR's item-level feedback; "Submit to FBR" always validates again before posting
- Confirm in production: production submissions in FinSmart ask for confirmation, because a posted invoice is a legal tax record

FAQ: Invoice Corrections
Q: Does the FBR invoice number change after a correction?
A: No. An invoice edited on IRIS keeps its original FBR invoice number and QR code. A new number is issued only when you cancel and submit a new invoice.
Q: What if the buyer disputes the invoice after the window?
A: Agree the correct figures with the buyer, then issue a debit note (increase, through the API within 180 days) or a credit note (decrease, on IRIS) against the original invoice. Both sides keep the documents.
Q: Can I correct an invoice multiple times?
A: No. Item details can be edited once within the window, and total edits are capped at 10% of the previous month's sales. Further changes go through debit or credit notes, or the Commissioner's approval.
Q: Can I edit or delete the invoice in FinSmart instead?
A: No. In production, a submitted invoice is locked in FinSmart and cannot be edited or deleted. Corrections happen on IRIS under FBR's 72-hour rule, and the activity log and FBR audit logs keep the history of what was submitted.
Ready to Correct Invoices Confidently?
Corrections are part of normal business. The key is acting within 72 hours or month end, editing item details once, and using debit and credit notes after that. FBR allows corrections; just follow the rules.
FinSmart reduces the need for corrections by validating every invoice against FBR's reference data before submission, and by locking submitted invoices so nothing is overwritten by mistake.
